Tips for Setting Up Your Meeting's AV System

As a meeting planner, you may have encountered this in the past - your meeting is ready to go after every detail has been carefully considered. Set-up finally begins, and you soon realize that you didn't allocate enough space for all of the AV equipment! Equipment needs to be hastily rearranged; creating last minute stress that could have been avoided.

To help you avoid stressful situations like this in the future, Image Audiovisuals has compiled a few tips to help you effectively plan for your AV presentation:

  • Create a scaled drawing of your meeting room in advance. Distribute it to your entire team, so there is no confusion regarding the equipment placement. Be sure to leave space for your AV equipment, the stage, a podium, visual aids, floral arrangements, etc. Your AV provider can assist you with this.

  • A general rule of thumb is to save 1.5 times the width of the screen for your AV equipment. This means that if your screen is ten feet wide, you will need approximately 15 feet of space behind the screen. Measure the distance from the front of the lens of the projector to the center of the screen. Most projectors and/or projector stands will take an additional two to three feet of space, so if you plan to do rear projection with a standard lens, you will also need to set aside approximately 18 feet behind the screen.

  • Ensure that your AV equipment does not obscure the presenter’s line of vision - if you have the screen set up behind the speaker, the projector should be aimed above his head, not at his eyes.

  • Determine in advance what kind of microphones your speakers prefer (i.e. lapel or wireless), so you aren't scrambling around at the last minute.

  • For optimal video viewing, the last row of chairs should not span more than six times the width of the screen, but it should measure at least one-and-a-half to two times the width of the screen.

  • It is best to position the sound speakers in front of a plain, nondescript surface to avoid distraction.

  • Determine if the house sound system will meet your needs.

  • If you have questions regarding setting up your AV presentation, always consult with your audiovisual provider first.
